Clockify Integration

docs101 provides a read-only integration with Clockify that lets you browse your Clockify workspace data directly from within the application. After connecting your API key, you can view your workspaces, the users in each workspace, and the clients associated with each workspace.

What this integration provides

The Clockify integration in docs101 is a read-only connection that allows you to browse your Clockify workspace structure (workspaces, users, clients). This is useful for referencing your Clockify data while working on invoices without switching between applications.

Prerequisites

Before you can use the Clockify integration, you need:

  • An active Clockify account (free or paid tier)
  • A Clockify API key for authentication

If you do not have a Clockify account yet, visit clockify.me to create one. The free tier includes time tracking, projects, and API access.

Step 1: Generate Your Clockify API Key

To connect docs101 with Clockify, you need to generate an API key from your Clockify account.

In Clockify:

  1. Log in to your Clockify account
  2. Click on your Profile icon (top right corner)
  3. Go to Settings
  4. In the left sidebar, select API
  5. You will see your API Key displayed
  6. Click the copy icon to copy it to your clipboard
Keep API Key Secure

Your API key is like a password. Never share it or paste it in unsecured locations. Only provide it to docs101 through the official integration settings. docs101 stores your API key in encrypted form.

Alternative Method (Workspace Settings): Some Clockify versions show API settings in Workspace Settings instead:

  1. Go to Workspace Settings (from Settings dropdown)
  2. Select Workspace > API
  3. Copy your API key

Step 2: Connect Clockify to docs101

Now you will add your Clockify API key to docs101.

In docs101:

  1. Log in to docs101
  2. Navigate to Account Settings
  3. Find the Integrations section
  4. Look for Clockify and click Connect
  5. Paste your Clockify API key in the field provided
  6. Click Save
  7. You will see a confirmation message when the connection is successful
Verify Connection

After entering your API key, docs101 will test the connection by fetching a list of your Clockify workspaces. If workspaces appear, your integration is ready to use.

Troubleshooting Connection Issues

Available Functionality

Once connected, the Clockify integration provides three read-only endpoints:

Browse Workspaces

View all workspaces associated with your Clockify API key. Each workspace shows:

  • Workspace ID
  • Workspace name

This is useful when you manage multiple Clockify workspaces and need to confirm which workspace contains the data you need.

Browse Users per Workspace

After selecting a workspace, you can view all users who belong to it. Each user entry shows:

  • User ID
  • User name

This helps you identify team members and their workspace membership when preparing invoices for time-based work.

Browse Clients per Workspace

After selecting a workspace, you can view all clients configured in that workspace. Each client entry shows:

  • Client ID
  • Client name

This is useful for cross-referencing your Clockify client list with your docs101 customer records.

How to Use the Integration in Practice

While the Clockify integration in docs101 is read-only, it serves as a convenient reference tool during your invoicing workflow:

  1. Open the Clockify panel from within docs101
  2. Select a workspace to browse its data
  3. View users and clients to cross-reference with your invoice
  4. Create invoice positions manually in docs101 based on the information you see
Manual Position Creation

The integration does not automatically create invoice positions from Clockify data. Use the browsed information as a reference when manually adding positions to your invoices. For details on adding positions, see the Create & Send Invoice Guide.

  • Keep your API key current: If you regenerate your Clockify API key, update it in docs101 immediately
  • Organize Clockify clients: Use consistent client naming in Clockify that matches your docs101 customer names for easy cross-referencing
