Manage Downloads

Download History

All exports you generate are stored in your Downloads section. You can view, re-download, and delete old exports here.

Accessing Your Downloads

  1. Go to Exports > Downloads in the main menu
  2. View a list of all generated exports with:
    • Date range covered
    • File size
    • Generation date
    • Current status

Export Status

  • Ready — Export is stored and ready to download
  • Processing — Export is being generated; wait a moment
  • Error — Export generation failed; try generating again

Downloading Exports

Downloading an Export

  1. Find the export in your Downloads list
  2. Click Download
  3. The ZIP file saves to your computer's Downloads folder

Your browser handles the download automatically. If it does not start, check your browser's download settings or pop-up blocker.

Re-downloading Previous Exports

Previously generated exports remain available in your Downloads list as long as they have not been deleted. Simply click Download again to get a fresh copy.

Deleting Exports

To remove an export you no longer need:

  1. Find the export in the Downloads list
  2. Click the Delete button (trash icon)
  3. Confirm deletion

Deleting an export is permanent and cannot be undone. Make sure you have a local copy if you still need the data.

Deleting an export from docs101 does not affect your account data. Your invoices, customers, and transactions remain unchanged. You are only deleting the export file itself.

Using Downloaded Exports

Local Backup Best Practice

  1. Download regularly — After each month closes, download your export
  2. Store locally — Keep copies on your computer or network drive
  3. Organize by date — Create folders like "2025-01 Export", "2025-02 Export"
  4. Archive important years — Keep full-year exports as permanent records

Sharing with Your Accountant

  1. Download the export
  2. Attach it to an email with a note about the date range covered
  3. Your accountant can extract the CSV files and import into their software

Troubleshooting

Issue: "Download stopped or failed"

  • Try downloading again. If the file is large, ensure you have a stable internet connection.

Issue: "Export generation takes too long"

  • If your account has many invoices, exports may take 1--2 minutes. Try exporting a smaller date range (a single month) instead of a full year.

Issue: "Export file is corrupted"

  • Delete the export from Downloads and generate a new one. If the issue persists, contact support.
